JOB DESCRIPTION: Manages the planning and execution of signature events, functions, or meetings for an advancement and alumni engagement program. Events may include, but are not limited to: large-scale gala or formal events, dinners, receptions, luncheons, board meetings, large-scale community awareness fundraising events such as walks, races, and tournaments, chair dedications and professorship celebrations, welcome or farewell events for staff, reunions and alumni events, cultivation and stewardship events with programmatic elements, groundbreaking events, building dedications, and tours. May also include university-wide events, special events for scholarship donors and students, leadership annual giving donors, planned giving donors, and various other donor groups. Events are designed to recognize and steward donors, increase fundraising, and/or increase participation rate. Events typically include a fundraising goal or increased participation rate. May solicit corporate sponsorships to supplement the budget and increase overall fundraising goal for event(s). Manages budget for department and/or events, identifying additional sources of support. Negotiates contracts with vendors. Determines/sets best practices to enhance event management activity. Reviews and/or approves event timelines, procedures, plans and concepts. Manages assignments for events and planning activities. Conducts long-range planning, and creates and maintains events calendar. Determines life cycle of events and activities for an advancement and alumni engagement program. Selects event attendees, or coordinates large scale event participant registration. May coordinate related travel for guest speakers and staff. May manage simultaneous events across multiple sites. Works with internal and external volunteers and others to secure hosts, locations, presenters, entertainment, etc. Partners with division leadership to engage University leadership as appropriate. Includes preparation of briefing materials, speeches and scripts and working directly with leadership and their offices. Manages post-event analysis to assess opportunities. Recommends improvements for events and services; implements recommendations as appropriate. Debriefs division leadership and other division staff on event outcomes. May manage staff. Performs other related responsibilities as required. Some night and weekend work is required. Some travel may be necessary.
MINIMUM QUALIFICATIONS: A bachelor's degree and four years of experience in event planning/management, alumni engagement, fundraising, or related field OR an equivalent combination of education, training and experience. |
